1. Introduction
AskJibu ("we", "our", "us") is committed to protecting the privacy of businesses and individuals who use our platform. This Privacy Policy explains what information we collect, how we use it, and the rights you have in relation to your data.
By using AskJibu, you agree to the practices described in this policy. If you do not agree, please do not use our services.
This policy applies to all services offered under the AskJibu brand, including the web platform at askjibu.com, the AskJibu dashboard, the embeddable widget, and any associated APIs.
2. Information We Collect
Account Information
When you create an AskJibu account, we collect:
- Username and email address
- Business or organisation name
- Password (stored as a one-way cryptographic hash — we never see your plain-text password)
- Subscription plan and billing information (processed by our payment provider)
Business Knowledge Data
To power your AskJibu assistant, you provide us with business knowledge — including documents, product catalogues, FAQs, website content, and API data. This data is stored securely and used exclusively to train and operate your AskJibu assistant.
Conversation Data
AskJibu logs conversations between your customers and your assistant to enable analytics, quality improvements, and debugging. Conversation logs include the messages exchanged and metadata such as timestamps and session identifiers. We do not log identifying personal information about your customers beyond what they voluntarily provide in a conversation.
Usage Data
We collect usage data about how you interact with the AskJibu dashboard, including pages visited, features used, and session duration. This helps us improve the product.
Technical Data
Automatically collected data includes IP address, browser type, operating system, referring URLs, and device identifiers. This data is used for security, fraud prevention, and service reliability.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the AskJibu service
- Train and maintain your AskJibu assistant using your business knowledge
- Send transactional communications (account confirmation, password reset, invoices)
- Send product updates and announcements (you can opt out at any time)
- Detect, prevent, and investigate fraudulent or abusive activity
- Comply with legal obligations
- Respond to your support requests
We do not use your business data to train general AI models shared with other customers. Your knowledge base is private to your account.
4. Data Storage & Security
Your data is stored on secure servers. Business knowledge (documents, product data) is stored in encrypted object storage (S3-compatible). Database records are encrypted at rest using AES-256.
All data transmitted between your browser, your customers, and AskJibu servers is encrypted in transit using TLS 1.2 or higher.
Access to production data is restricted to authorised AskJibu engineers with multi-factor authentication. We conduct regular security reviews and apply security patches promptly.

6. Conversation Data
When your customers interact with your AskJibu assistant, we store conversation logs on your behalf. These logs are:
- Accessible only to you (the business account holder) via your dashboard
- Used to provide analytics (conversation volume, topics, lead information)
- Used internally to detect and fix AI quality issues
- Never used to power other businesses' assistants
- Retained for 12 months on the Starter plan, 24 months on Growth and Enterprise
If a customer requests deletion of their conversation data, you should contact us at [email protected] with the details and we will delete the relevant records within 30 days.
7. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data (consistent with GDPR and POPIA principles):
- Access: Request a copy of the data we hold about you
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your account and associated data
- Portability: Request your data in a machine-readable format
- Objection: Object to processing of your data for marketing
- Restriction: Request that we restrict processing in certain circumstances
To exercise any of these rights, email [email protected]. We will respond within 30 days. We may ask you to verify your identity before fulfilling your request.
8. Data Retention
We retain your account data for as long as your account is active. If you delete your account, we will permanently delete your personal data and business knowledge within 30 days, except where retention is required by law (e.g., billing records for tax purposes, which may be kept for up to 7 years).
Conversation logs are retained according to your plan (see Section 6). You can delete individual conversations or all logs at any time from your dashboard.
10. Children's Privacy
AskJibu is designed for businesses and is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and display a prominent notice in your dashboard at least 14 days before the changes take effect.
Your continued use of AskJibu after changes take effect constitutes acceptance of the updated policy.
